Position Summary
Location: Hybrid / Vancouver
The Senior Internal Communications and Engagement Specialist leads internal communications for Mitacs and helps connect a workforce of over 300 staff members, who work in a remote-first environment across the country. An integral member of the Communications team, the ideal candidate is skilled at clearly communicating corporate objectives, delivering captivating content, promoting awareness and alignment, supporting change, advising the CEO and Mitacs Executive Committee (MEC) and collaborating with other departments, such as Equity, Diversity, Inclusivity and Culture, to drive culture and employee engagement. The specialist will also collaborate with the Communications & Public Affairs team to support corporate and external communications for events and announcements as needed.
The position works closely with MEC and preparing written communications from the CEO and MEC is a critical aspect of this role. The ideal candidate will have experience planning and executing virtual/in-person/hybrid corporate events, Town Halls and All-Staff meetings in addition to crafting clear, engaging messages to all staff on a variety of subjects. The position also provides oversight for Mitacs’ intranet, the Mitacs Hub.
Acting as a Communications advisor to various teams working on projects that impact multiple stakeholders, the Senior Internal Communications and Engagement Specialist ensures that consistent and cohesive information is distributed at the right time and through the right channels.
Position Responsibilities:
• Under the supervision of the Director, Communications & Public Affairs, lead internal communications strategy with particular focus on transformative change and strategic alignment, and an emphasis on EDI and Culture.
• Oversee planning and execution of virtual, in-person, and hybrid Town Hall and All-Staff meetings, supporting on meeting agendas and briefings, presentations, event set up, and remarks as required.
• Support the planning and on-site execution of corporate events at the Mitacs office including MOU signings, international visits, and Mitacs Connect networking events.
• Develop communications materials from ideation to final product, including stories, videos, newsletter content, presentations, and other collateral.
• Advise and support senior leaders to communicate corporate objectives and drive employee engagement. Support all-staff communications on behalf of the MEC.
• Work side-by-side and develop strong relationships with all teams across the organization to create strategies that are based on specific needs and challenges while ensuring alignment with Mitacs’ corporate strategy.
• Develop and execute communications campaigns that support change and business transformation.
• Assess and address barriers to optimizing internal communications.
• Collaborate regularly with EDI and Culture, ensuring communications support Mitacs’ Strategic Plan, Inclusive Innovation Action Plan (IIAP), employee engagement, and culture transformation goals.
• Collaborate regularly with Human Resources, and use employee feedback, metrics, and data to drive communications improvements.
• Collaborate regularly with the Mitacs Enterprise Transformation (MET) team to lead all internal and external MET communications and support related enterprise-wide change management goals and plans.
• Collaborate regularly with the Communications & Public Affairs team to support corporate and external communications, events and marketing, such as posting to our website, drafting impact stories, or supporting on other event preparations as needed.
• Contribute to the continuous improvement of team processes, operations, and best practices.
Skills, Abilities, and Experience:
• A degree or diploma in communications, journalism, or related field with at least five years of experience in corporate, internal, or employee communications.
• Talented storyteller and experienced strategic communicator who is capable of crafting compelling messages and engaging staff to become Mitacs ambassadors.
• Proven track record applying data and analyses to developing communications strategies and coordinating impactful messages.
• Extensive experience in the planning, execution, and evaluation of internal communications.
• Ability to balance being a strong team player with working independently in a fast-paced and flexible environment.
• Experience with employee engagement and change management communications.
• High degree of emotional intelligence, including the ability to adapt to different working and communication styles.
• Ability to exercise tact and discretion when working with sensitive communications.
• Excellent writing, editing, speaking, and presentation skills.
• Experience directing and/or supporting on-site event set-up, logistics, agendas and audio-visual requirements for in-person staff and corporate events.
• Ability to manage multiple projects and deliver under tight deadlines.
• Written and verbal fluency in French is a strong asset. Knowledge of written and spoken English is required in this role as you will interact with colleagues, clients, and stakeholders located across Canada
• Experience with post-secondary institutions and/or government funding agencies is an asset.

Hiring Range: $65,325 - $82,745

Le ou la spécialiste sénior·e de la communication interne et de l’engagement dirige les communications internes de Mitacs et aide à relier un effectif de plus de 300 membres du personnel, qui œuvrent dans un environnement de télétravail à travers le pays. Membre indispensable de l’équipe Communications, la personne retenue sait communiquer clairement les objectifs organisationnels, présenter un contenu captivant, favoriser la sensibilisation et la cohésion, soutenir le changement, conseiller le PDG et le comité exécutif de Mitacs et collaborer avec d’autres services, dont l'équipe Équité, Diversité, Inclusion et Culture, dans le but de renforcer la culture organisationnelle et l’engagement du personnel. Le ou la spécialiste collaborera aussi avec l’équipe Communications et Affaires publiques pour soutenir les communications organisationnelles et externes en lien avec des événements et des annonces, au besoin.
La personne titulaire du poste travaille en étroite collaboration avec le comité exécutif de Mitacs et la préparation des communications écrites du PDG et du comité exécutif constitue un aspect essentiel de cette fonction. Responsabilités du poste :
• Sous la supervision de la directrice, Communications et Affaires publiques, diriger la stratégie de communication interne en mettant l’accent sur le changement transformateur, l’alignement stratégique, l’EDI et la culture.
• Superviser la planification et la tenue de séances de discussion ouverte et de réunions du personnel virtuelles, en personne ou hybrides, apporter son soutien à l’ordre du jour des réunions et aux documents d’information, aux présentations, à l’organisation d’événements et aux allocutions, le cas échéant.
• Soutenir la planification et l’exécution sur place d’événements organisationnels au bureau de Mitacs, dont la signature de protocoles d’entente, les visites internationales et les événements de réseautage Connexions de Mitacs.
