Description
Key Responsibilities:
1. Lease Renewal & Negotiation
• Manage the end-to-end lease renewal process for existing retail stores nationwide.
• Lead negotiations with landlords to secure favourable rental rates and tenancy terms in line with company objectives.
• Ensure all lease renewals are completed before tenancy expiry to prevent business disruption.
• Prepare and review renewal proposals, notices, and related tenancy documentation.
2. Landlord Relationship Management
• Develop and maintain strong working relationships with landlords, property owners, and property management companies.
• Serve as the primary contact for tenancy-related matters, including lease renewals, operational issues, and tenancy enquiries.
• Resolve tenancy issues through effective negotiation and stakeholder management.
3. Tenancy Administration & Legal Coordination
• Work closely with the Legal Department to review, negotiate, and finalize tenancy agreements and renewal terms.
• Manage tenancy-related legal matters, including change of ownership (novation), ensuring timely execution and compliance.
• Oversee the execution and stamping process for renewed tenancy agreements.
4. Asset & Document Management
• Maintain complete and accurate records of tenancy agreements, legal documents, and supporting correspondence.
• Ensure proper documentation, filing, and record management for audit and compliance purposes.
• Monitor the status of tenancy documentation and ensure timely completion of all required processes.
5. Rental Administration
• Coordinate with the Finance Department on rental payments, security deposits, and tenancy-related charges arising from lease renewals.
• Monitor rental obligations and ensure accurate tenancy payment records.
6. Property Database Management
• Maintain and update tenancy information in the Property Management System (Lark) and related databases.
• Ensure the accuracy, completeness, and integrity of tenancy and rental records.
7. Cross-Functional Collaboration
• Collaborate with Legal, Finance, Operations, and other internal stakeholders to facilitate timely lease renewals and tenancy administration.
• Provide recommendations on tenancy matters and support continuous improvements to lease renewal processes.
• Perform other property management duties and projects as assigned.
Requirements:
• Bachelor's Degree in Property Management, Real Estate, Business Administration, Law, or a related field.
• Minimum 3–5 years of experience in property management, lease administration, tenancy management, or a related field.
• Proven experience in lease renewal negotiations and managing landlord relationships.
• Good understanding of tenancy agreements, lease administration, and legal documentation processes, including execution and stamping.
• Strong negotiation, communication, and stakeholder management skills.
• Able to manage multiple lease renewals and prioritize deadlines in a fast-paced environment.
• Proficient in Microsoft Office applications; experience with Property Management Systems (e.g., Lark) is an added advantage.
• Detail-oriented with strong analytical, documentation, and problem-solving skills.
• Able to work independently with minimal supervision.
