Description
Why This Role Exists We are looking for a high-agency Operator to serve as the connective tissue between our client's sales engine and supply chain. This is not a "data entry" job; it is a leverage job. Currently, our client's growth is limited by the speed of our internal execution. Your mission is to own the integrity of our order-to-cash cycle and the accuracy of their inventory ecosystem. By mastering the data and proactively flagging bottlenecks before they exist, you provide the leadership team with the "clean glass" they need to make high-stakes decisions at speed. What You’ll Be Responsible For (Outcomes) System Integrity & Accuracy : Own the end-to-end order flow in WooCommerce and QuickBooks. You ensure that 100% of orders are "audit-ready" and that data flows between systems without friction or manual intervention Inventory Foresight : You don't just "report" on stock; you predict needs. You will manage the production trigger-points, ensuring that Purchase Orders (POs) are initiated with enough lead time to maintain a 0% stock-out rate on core SKUs Operational Intelligence : Translate raw inventory and sales data into high-level reports. You will provide the "so what" behind the numbers, allowing the founders to shift from reactive firefighting to proactive scaling Supply Chain Continuity : Manage the "supplies for the supplies." You ensure packaging, labels, and warehouse consumables are always ahead of the production curve, removing all "silly" blockers to shipment speed Project Execution : Lead discrete operational sprints—such as migrating a workflow, auditing a carrier’s performance, or onboarding a new wholesale partner—with minimal oversight What You’ve Done Before Managed Complexity : You have 2–4 years of experience in an operations-heavy environment (CPG, Wholesale, or E-commerce) where a 1% error rate was considered a failure Owned the Stack : You are an expert-level user of QuickBooks and WooCommerce (or similar ERP/E-com stacks) and view Excel/Google Sheets as a strategic tool, not just a place to store lists Operated Independently : You have a track record of taking a vague objective (e.g., "We're running out of boxes too often") and turning it into a permanent, automated solution Who You Are High Agency : When you see a gap in a process, you don't wait for permission to fix it. You come to the table with a solution, not just a problem Detail-Obsessed : You find peace in a reconciled spreadsheet and feel a physical twitch when you see a SKU mismatch Systems Thinker : You don't just do the task; you look for ways to automate the task so it never has to be done manually again Direct Communicator : You provide clear, concise updates and aren't afraid to "manage up" when you see an operational risk Who This Is NOT For The "Task-Taker" : If you need a daily to-do list provided for you, this isn't the right fit. You are expected to build the list. The "Close Enough" Specialist : If you think a $10 discrepancy in a $10,000 order isn't worth investigating, you will struggle here. The Single-Channel Thinker : If you only care about the data entry and don't care how it affects the warehouse or the customer, this role isn't for you. What Success Looks Like After 30 Days : You have audited our current order-sync process and identified at least three "leakage" points where data or time is being lost. After 90 Days : The Founder no longer checks inventory levels. They trust your "Production Needed" flags implicitly. The Metric : A 99.9% order accuracy rate and a significant reduction in "Days of Stock on Hand" variance across all channels. Requirements Minimum Technical and Work Environment Requirements: Internet Connection: Primary internet connection with a minimum speed of 15 Mbps . Backup internet connection with at least 10 Mbps . Backup connection must be capable of supporting work during a power outage.
