Role Overview
As a Production Assistant at Willow Health Media, you will be the central support for the Audio-Visual Department throughout the entire production lifecycle—from planning field shoots to final asset delivery. Your day-to-day will involve coordinating logistics for multimedia projects across podcasts, social media, and website content, ensuring that every piece of footage, audio file, and graphic is organised, backed up, and ready for editorial review. This role matters because timely, well-documented production workflows directly enable Willow Health Media’s health journalism and development programmes to reach audiences without bottlenecks or compliance gaps.
Key Responsibilities
• Coordinate pre-production logistics: schedule crew, book equipment, arrange travel, and manage on-location permits for field shoots and studio recordings.
• During production, serve as the on-site point of contact for talent, vendors, and freelancers, troubleshooting issues as they arise to keep the shoot on track.
• After production, ingest, label, and archive all raw media—footage, photographs, audio, and graphics—using consistent file-naming conventions and cloud-based asset libraries.
• Track editing progress, organise review sessions with editors and producers, and maintain edit logs, subtitles, thumbnails, and metadata for digital platform publication.
• Maintain project calendars, content schedules, and production trackers; update status reports and flag delays to the department lead.
• Process contracts, invoices, and approvals for freelancers and suppliers; log expenses against project budgets and reconcile expenditure records.
• Conduct quality checks on final deliverables to verify compliance with Willow Health Media’s brand guidelines, editorial standards, and safeguarding policies.
• Prepare meeting minutes, action points, and follow-up documentation; ensure consent forms and production clearance paperwork are filed completely.
Requirements & Qualifications
• Education: Bachelor’s degree in Film Production, Media Studies, Communications, Journalism, or a related field with at least one year of relevant experience beyond internships. A diploma in a similar field requires a minimum of two years of relevant post-internship experience.
• Production experience: Demonstrated ability to support field productions and juggle multiple concurrent production activities; experience with NGOs, health journalism, or development media is a strong plus.
• Technical skills: Proficient in Microsoft Office Suite and Google Workspace; comfortable with digital asset management systems and cloud storage platforms (e.g., Google Drive, Dropbox, Frame.io).
• Organisational ability: Exceptional attention to detail, strong documentation and record-keeping habits, and proven capacity to prioritise competing assignments under tight deadlines.
• Communication: Clear written and verbal English; able to collaborate across cross-functional teams and liaise with freelancers, vendors, and internal stakeholders.
• Flexibility: Willing to work outside regular hours as project timelines require and occasionally travel to field locations for on-site editing or production support.
