Remote Raven is hiring on behalf of a specialist US law firm that has spent 27 years perfecting a narrow craft: forming and maintaining corporate entities at scale. The firm manages tens of thousands of corporations and LLCs and its edge is precision at volume — proprietary technology, disciplined process, and a paralegal team that treats every filing like it matters. The Corporate Filings Paralegal owns the day-to-day preparation and submission of Secretary of State filings across multiple US states. This is high-volume, detail-heavy work with real deadline pressure at the end and beginning of each month. In the beginning, the role is clerical at scale — thousands of filings per month processed through the firm's proprietary system, with an accuracy standard that leaves no room for guesswork. You will work 100% remotely on a full US Pacific-time shift starting at 2:00 PM PST (approximately 6:00 AM Philippine Time), Monday through Friday, and report to a supervising attorney based in the US. Key Responsibilities Secretary of State Filings Prepare and submit corporate filings including entity formations (Articles of Incorporation, Articles of Organization), amendments, statements of information, annual reports, foreign qualifications, and dissolutions. Accurately enter and process filing data through the firm's proprietary filing system. Review and verify each filing for completeness, accuracy, and compliance with state-specific requirements before submission. Data & Records Management Maintain organized, audit-ready records of every filing and its confirmation. Track filing statuses in the proprietary portal and confirm receipt from each Secretary of State. Flag rejections, deficiencies, and state-specific quirks to the supervising attorney with a clear description of the issue. Peak-Cycle Operations Handle heavy filing volume during the end and beginning of each month, when annual reports and statements of information cluster. Prioritize the queue against state-specific deadlines to prevent late filings and associated penalties. Communication & Coordination Communicate promptly with internal attorneys, senior paralegals, and operations staff. Provide clear end-of-day status updates on queue progress, especially during peak weeks. Administrative Support Assist with clerical and administrative tasks that support the corporate filings function as needed. Requirements Minimum 3 years of paralegal experience. Familiarity with Secretary of State filings and standard corporate entity documentation. Demonstrated ability to handle high-volume, detail-heavy work over sustained periods without accuracy slippage. Comfortable with technology and able to learn proprietary software quickly. Strong written and verbal English communication. Ability to work independently with minimal supervision, on a full US Pacific-time shift starting at 2:00 PM PST (approximately 6:00 AM Philippine Time), Monday through Friday. Reliable, quiet workspace and stable high-speed internet suited to full-time remote work. Preferred Qualifications Experience in corporate law, a corporate services company, or a law firm environment. Direct familiarity with California Secretary of State filings and Statements of Information. Familiarity with state filing procedures, timelines, and periodic compliance calendars. Prior work supporting US-based attorneys or clients in a remote setting.
