About The Role
To provide administrative support to Altrad’s delivery team at Sullom Voe Terminal.
The role ensures the accurate and timely processing of workforce information, employee hours, payroll data, personnel records, and logistical requirements while serving as a key point of contact for employee and management queries.
Key Responsibilities
Payroll & Timekeeping
• Process daily labour reports / timesheets.
• Prepare and maintain timewriting records and payroll summary reports.
• Upload payroll information to company system and review payroll reports for accuracy.
• Submit weekly payroll information and supporting documentation.
• Review and process employee expense claims in accordance with company procedures.
Logistics
• Maintain personnel rotas and personnel-on-board records to reflect actual and planned workforce movements.
• Maintain and update personnel databases, ensuring employee information is accurate and current.
• Coordinate travel and accommodation bookings as required.
• Manage administrative aspects of new employee onboarding including security clearance and inductions.
Training
• Maintain site training matrix and competency records.
• Coordinate training bookings with internal departments and external providers.
General Administration
• Respond to employee and management queries in a timely and professional manner.
• Provide general office support to ensure efficient day-to-day operations.
• Assist with reporting and data management as required.
Skills & Experience
• Previous experience in an administrative, coordinator, or office support role.
• Strong organisational and time management skills.
• High level of accuracy and attention to detail.
• Experience using payroll, personnel, or workforce management systems would be advantageous.
• Proficient in Microsoft Office, particularly Excel, Outlook, and Word.
