Description
We are seeking to recruit an experienced  Legal Secretary   to join our Litigation, Insolvency & Restructuring team. The ideal candidate will provide comprehensive support to senior partners and other attorneys in the department. The successful candidate will be a proactive team player with a desire to work in a fast-paced environment where the delivery of high calibre professional service is essential. The candidate should be able to think on their feet, show a high level of attention to detail and resourcefulness and have strong communication skills. Duties and Responsibilities: • Producing, formatting and finalising legal documents, including cross-referencing, proofreading, pagination and hyperlinking in accordance with Cayman court requirements; • Drafting and preparing correspondence, pleadings and other court-related documentation; • Compiling, managing and consolidating electronic and hard-copy hearing, trial and authorities bundles; • Liaising with courts and external bodies on procedural matters, including filing documents via the court’s e-filing portal; • Monitoring and managing court deadlines, filing requirements and associated fees to ensure compliance; • Maintaining a strong working knowledge of Cayman Islands court rules, practice directions and litigation procedures; • Supporting attorneys with billing processes, including time entry reviews, invoice preparation and assisting with accounts receivable follow-up; • Transcribing dictations, meeting notes and court proceedings accurately and efficiently; • Coordinating applications for visas, work permits, admissions (general and limited) and practising certificates; • Managing diaries, arranging travel and accommodation, organising meetings, and preparing itineraries and marketing materials; • Processing expense claims in accordance with firm policies; • Coordinating conference calls, virtual hearings and internal/external meetings; • Liaising with internal support teams (IT, finance, etc.) to support hearings and trials; • Opening new matters and ensuring compliance with firm procedures, including conflict checks, AML/KYC requirements and engagement letter issuance; • Ensuring documents are correctly filed, named and maintained within the document management system; • Assisting with special projects and ad hoc tasks as required; and • Providing team support and cover for other secretarial staff when necessary. Requirements: • A minimum of five years relevant and demonstrable litigation secretarial experience within a medium to large law firm is required; • Good working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, iManage and billing and CRM systems; • Experience working with Aderant is advantageous; • The ability to multitask, handle a full case load, and a minimum typing speed of 70 WPM; • The ability to work on your own initiative and to work overtime at short notice when necessary; • Legal secretarial, paralegal and/or Project Management qualifications would be advantageous; and • a valid driver’s license and the ability to drive.
