ROLE OVERVIEW
PURPOSE OF JOB
This role sits within the global Group
Human Resources team and provides a dedicated business partnering HR service
to the business.
The HR Business Partner is the designated
HR contact for Poland, while also supporting other European jurisdictions
within the Group. The role supports the Directors and their management teams
in achieving business goals through effective people management, strong
senior-level partnering relationships, HR representation in management
meetings where appropriate, and delivery of HR strategies aligned to
divisional and Group objectives.
The role is responsible for reviewing jurisdictional
policies, procedures and handbooks, ensuring consistency and best practice, and
providing expert advice on employee relations, performance, people-related
risk, payroll, benefits and HR administration.
The role acts as the subject matter expert for Poland and
combines having had experience in operational delivery, including payroll,
benefits and HR administration, but with a primary focus on advisory support to
managers on employee relations, performance and people-related risk.
The role currently has no line management responsibilities
and is a stand-alone role in Poland.
MAIN RESPONSIBILITIES AND DUTIES
HR ADVISORY AND BUSINESS SUPPORT
• Partner with Directors
and the management team to translate business strategy into HR priorities and
actionable goals. The role focuses primarily on Poland, supports other European
jurisdictions, and partners with HR Business Partners in other jurisdictions.
• Assist the business with
organisational design, restructuring and organisational change. Contribute to
effective workforce planning and proactively work with the Group Resourcing
Specialist to manage recruitment, resourcing and hiring activity, ensuring JTC
attracts the best talent in a cost-effective way and in line with mandatory
recruitment and assessment requirements.
• Work in partnership with
Directors to identify top talent within the business and align development,
reward and recognition activity for these individuals. Develop robust
succession plans for the division and jurisdiction in partnership with JTC
Academy.
• Support the delivery of
ongoing business performance improvements and ensure that HR interventions
reinforce JTC’s brand, high-performance culture and commercial focus.
• Develop close working
relationships with business area Directors and Managers as required, providing
advice on HR procedure and policy matters and developing solutions or
recommendations to meet business priorities.
• Maintain detailed
awareness of regulatory and offshore requirements and Group strategies to
ensure that appropriate HR policies are in place and applied consistently.
• Provide specialist advice
and guidance in relation to the interpretation and/or application of HR
policies and procedures and/or statutory requirements.
• Advise and coach managers
on JTC’s reward framework, policies and principles, including roles and levels,
promotion, career pathways, and the application of the compensation and
benefits strategy, including shared ownership.
• Provide continuous
feedback to leadership and other areas of HR on a range of business and HR
matters, including informal and formal reporting requirements.
EMPLOYEE RELATIONS
• Act as the subject matter
expert on employment legislation in Poland to support JTC’s compliance with
local jurisdictional requirements and produce quarterly updates on upcoming
legislative changes in the jurisdiction.
• Provide guidance to other
HR team members on employee relations matters, ensuring adherence to
legislation and best practice in areas including, but not limited to,
discrimination, GDPR, equal opportunities, disciplinary, grievance and
capability matters.
• Provide advice and
guidance to managers on employee relations matters, including disciplinary and
grievance processes, absence management, performance management and
terminations.
• Support and lead employee
relations cases, with oversight and approval from the HR Business Partner, to
ensure fair, consistent and legally compliant outcomes.
• Ensure compliance with
all duties and responsibilities associated with staff delegation or employee
union if applicable.
• Mitigate risk by
maintaining robust documentation and ensuring adherence to agreed processes.
• Promote a positive
employee relations culture across the organisation.
POLICIES, PROCESSES AND HANDBOOKS (GROUP)
• Ensure HR policies, procedures and handbooks for the jurisdiction are reviewed and updated regularly, at least annually, or in line with legislation and best practice.
• Establish new policies, procedures and handbooks in new jurisdictions as part of acquisitions or organic business growth, and share knowledge of new jurisdictional legislation, policies and procedures with the wider HR team.
GENERAL HR TEAM
• Conduct exit interviews
and identify and report trends or patterns to the Group.
• Research, manage and
implement successful delivery of assigned HR activities, projects and tasks
within agreed timelines, including activities which support the Performance and
Reward cycle and Learning and Development initiatives.
• Undertake assigned
project work as may be required.
• Actively contribute as a
key member of a multi-jurisdictional HR team, building effective working
relationships to ensure procedures are followed accurately and continuity of
service is maintained during busy periods or absences.
• Uphold the professional
standards expected of an HR practitioner and act as a role model of excellence
with all clients, internally and externally.
• Maintain the highest
standard of confidentiality and security in terms of employee data and business
information and consider the impact of GDPR on all activities undertaken.
• Maintain accuracy when
handling data and ensure the integrity of processes. Follow four-eye check
protocols, complete required checklists fully, and support HR colleagues who
require assistance with four-eye checks.
• Contribute to the wider
HR team, supporting ad hoc projects, exchanging knowledge and supporting
standards of good practice.
• Develop personal
capability and maintain up-to-date knowledge in the relevant field.
• Consistently demonstrate

• Any other duties as
deemed necessary.
HR OPERATIONS AND EMPLOYEE LIFECYCLE
• Working with the HR
Operations team to maintain accurate and compliant employee records and HR
systems, including responsibility for maintaining statutory and regulatory
records in the relevant portals or sites for Poland, such as ZUS.
• Working with the
Resourcing and HR Operations teams to deliver end-to-end HR support across
recruitment, onboarding, the employee lifecycle and offboarding.
PAYROLL AND BENEFITS ADMINISTRATION
• Work closely with the
payroll team to ensure payroll is accurate and processed on time.
• Liaise with payroll
providers when requested to support compliance with local tax and statutory
deduction requirements.
• Work with the global
benefits team to support and advise on employee benefits, including pensions,
healthcare, insurance and leave schemes.
• Support annual benefits
renewals and salary review processes.
STATUTORY COMPLIANCE AND RISK MANAGEMENT
• Ensure compliance with
local employment laws, regulations and statutory obligations, including
contracts, working time, leave and termination requirements.
• Maintain statutory and
regulatory records in the relevant portals or sites for Poland, such as ZUS.
• Support audits,
regulatory reporting and statutory submissions.
• Maintain up-to-date
knowledge of employment law developments across relevant jurisdictions.
• Ensure HR practices
remain aligned with company policy and legal requirements.
ESSENTIAL REQUIREMENTS
• Degree in Human
Resources, Business or a related field, or equivalent practical experience.
• CIPD qualification, or
equivalent professional qualification, is preferred.
• Strong knowledge of
Polish employment law and statutory requirements.
• Proven experience as an
HR Generalist, HR Partitioner or HR Business Partner.
• Demonstrable experience
in payroll and benefits administration, employee relations case management, and
HR operations across the employee lifecycle.
• Experience working within
a regulated or multi-jurisdiction environment is desirable.
• Professional, clear and
concise communication skills.
• Fluency in Polish and
English.
• High levels of integrity,
discretion and confidentiality.
• Ability to manage
multiple priorities and work both independently and collaboratively.
The expected minimum salary for this position is 160,000 PLN, based on experience and qualifications.
