Description
Job Responsibilities:
• Answer patient calls and emails with professionalism and empathy.
• Schedule, reschedule, and confirm appointments.
• Manage new-patient intake and required paperwork.
• Coordinate scheduling for primary care, mental health, weight-loss, and cosmetic services.
• Verify insurance eligibility and benefits.
• Process prior authorizations before patient visits.
• Coordinate provider credentialing and follow up with insurance companies.
• Track insurance verifications and assist with claim issues.
• Review clinical notes completed in Doxy for accuracy and completeness.
• Flag documentation errors or missing information.
• Prepare billing paperwork and forward completed documentation to the billing team.
• Coordinate mental health medication check-ins and other patient follow-ups.
• Support general administrative and operational tasks.
• Assist with Facebook content creation and posting when needed.
Requirements
• At least 1 year of experience in a similar role in any healthcare related position.
• Has strong medical, nursing, or healthcare administration background
• Extensive experience with CharmHealth EMR is required. .
• Ability to use and teach advanced CharmHealth features confidently.
• Experience with insurance verification, prior authorizations, credentialing, claims, and billing.
• Excellent attention to detail, particularly when reviewing clinical documentation.
• Strong organization and ability to manage competing priorities.
• Professional communication, phone etiquette, and customer service skills.
• Proactive, dependable, and interested in a long-term position.
• Comfortable collaborating with a small team and receiving feedback.
Basic Requirements
• Must speak and write English clearly and professionally.
• Must have relevant work experience.
• Must be able to provide an NBI Clearance and/or Local Police Clearance before onboarding (mandatory).
• Must be available to attend video meetings with camera on when required.
Technical Requirements
• Computer: Reliable laptop or desktop computer.
• Internet: Stable high-speed internet connection (minimum 25 Mbps).
• Audio: Noise-canceling headset.
• Video: Working webcam for virtual meetings.
