Description
The position will be responsible for the efficient management of OIP’s financial resources, with major focus on the Women POWER project, ensuring compliance with financial regulations, policies and procedures, expenditure management and timely financial reporting and proper budget control. The position will also be responsible for partner acquittals, partner capacity building and project logistics for both the Fiji and Vanuatu offices. The position contributes to positive communication and knowledge sharing with staff to ensure an integrated approach. It provides information for regular projects and financial reports and inputs or tracks data as required. CORE RESPONSIBILITIES • OIP Women POWER Project Provide Financial and Administrative support to the project team, these includes but not limited to processing financial payments and uploading on business central. Reconcile all advance GL ledgers and ensure timely receipt of acquittals and travel reports. • Budgeting and Forecasting: Assist in the preparation of budgets and financial forecasts. • Cash flow management Ensure that cashflow is well managed and timely request for new tranches is made to the donor. Provide Cash Status of the project on monthly basis. • Expense Verification and Variance reporting Work closely with the other Finance and Administrative Officer under the Women POWER project to provide support to OIP and Partners. • Variance Report, donor reports and project steering committee reporting A business central data for the Women POWER project should be circulated to the project staff on the3rd working day of the following month. Work with the project team to provide Variance report and table report at the monthly Office meetings. This position is responsible for all financial reporting requirements of the Women POWER project. • Fixed Asset and Inventory Register Maintain an OIP wide Fixed Asset register in Business Central and tag all assets. • Audit Ensure that the project external audit is done in timely manner • Training Ensure all OIP staff are familiar with the finance manual, train staff where required • Box Filing File all documents including partner documentation on box • Other Duties This role is critical in ensuring that the organization's financial operations including that of the Women POWER project, run smoothly, with accuracy and transparency.
