Job Description We are looking for a highly organized and proactive Executive Assistant to support our senior executives. This role involves managing complex calendars, coordinating meetings, handling travel arrangements, and supporting various administrative and project-related tasks to ensure the smooth operation of the executive team’s schedules and activities. Responsibilities -Manage busy and complex calendars for one or more senior leaders, ensuring all appointments, meetings, and events are scheduled efficiently. -Coordinate conference calls, WebEx, video meetings, and virtual conferences. -Organize travel arrangements including flights, visas, trains, and hotels, in collaboration with a travel agency. -Plan and manage meetings and events, such as board and leadership team meetings, workshops, conferences, and advisory sessions. -Send invitations, select venues, and oversee all logistical details for events. -Prepare and distribute agendas, supporting documents, and presentation materials. -Take minutes during meetings and follow up on action items. -Facilitate communication with internal teams (IT, legal, HR, facilities) and external stakeholders such as key opinion leaders and vendors. -Draft, review, and route emails, documents, and internal communications, while maintaining confidentiality. -Manage purchasing tasks, including preparing and tracking purchase orders and setting up new vendors if needed. -Maintain organizational charts, contact lists, and important calendars (e.g., birthdays). -Support administrative processes like expense reporting, holiday schedules, contract approvals, and legal documentation. -Assist senior leaders with personal support tasks when required, including expat-related arrangements. -Organize and file documents for easy retrieval and reference. -Handle ad hoc projects and initiatives, supporting cross-functional activities as assigned. Requirements -Proven experience as an Executive Assistant or similar role supporting senior leadership. -Excellent organizational skills and the ability to manage multiple priorities simultaneously. -Strong communication skills, both written and verbal. -Ability to handle sensitive information with discretion and confidentiality. -Proficiency in MS Office (Word, PowerPoint, Excel). -Experience coordinating travel and events. -Proactive and independent, with a problem-solving attitude. -Flexibility and a positive, professional attitude.
