Description
Our client is a fast-growing AI technology company backed by leading venture capital funds. With $25m raised to date, they partner with some of the world's most complex enterprises and are scaling rapidly — growing their team and their US presence in New York. The client is looking for an exceptional Executive Assistant to work directly with their Co-Founder CEO. This is a senior, high-trust role at the heart of the business — and a deliberate step up from a traditional EA hire. The Role This is a role for someone who wants to be close to the business, understand where it's going, and actively help it get there — not just keep the wheels turning. The CEO operates across the US and internationally, building relationships with customers, investors, and partners. You will be a true force multiplier — bringing structure, judgement, and strategic thinking to everything from complex travel to GTM outreach planning. You will work hand in hand with the CEO, anticipating what's needed before it's asked. The best version of this role looks less like an assistant and more like a trusted operator embedded at the center of the company. Key Responsibilities Executive Support & Time Leverage End-to-end ownership of the CEO's calendar across multiple time zones, with a proactive approach to sequencing and prioritization Managing communications, follow-ups, and coordination with discretion and sound judgement Anticipating issues before they escalate and solving problems without being asked Strategic Trip Planning & GTM Outreach Build and maintain a forward travel calendar across the year — planned well in advance and tied to business objectives For each trip, develop a prioritized meeting schedule: who we should be seeing, why, and what we want from each conversation Own outreach to those contacts — drafting communications, following up, and ensuring the CEO arrives in every city with a full and purposeful agenda Work closely with the GTM team to align travel with pipeline, customer relationships, and market priorities Maintain a clear picture of our network and help identify the right moments to activate it Briefings & Executive Preparation Prepare concise, high-quality briefings before every significant meeting: background, context, objectives Pull from internal updates, prior interactions, and external sources to ensure the CEO is always well-prepared Support preparation of board materials, investor updates, and executive presentations as needed C-Suite & External Engagement Act as a primary point of contact with senior executives, customers, investors, and partners Liaise confidently with external stakeholders, representing the CEO with professionalism and discretion Support relationship-building moments, events, and high-stakes engagements Operations & Enablement Coordinate leadership reporting, weekly updates, and executive cadences Support planning for offsites, all-hands, and key company moments Handle expenses, receipts, and administrative tasks without needing to be chased Ways of Working Actively look for ways to automate and streamline — using AI tools, building lightweight systems, and replacing manual processes where possible We're a technology company; we expect this role to operate with the same mindset Personal Logistics (as needed) Occasional support with personal arrangements that remove friction from the CEO's time and focus What We're Looking For This is a role for someone who has already operated at a high level and is looking for more, not less, responsibility. You will likely have: Significant experience supporting a CEO or C-suite executive, ideally in a high-growth or venture-backed environment (although this is not required) A track record of managing complex travel and external stakeholder relationships Experienc
