We are seeking an Executive Assistant / Operations Partner to serve as the high-level "right hand" and key operational proxy to our Founder/Executive Principal . In this role, you will act as a direct extension of leadership, taking ownership of critical executive workflows, overseeing multi-entity operational tasks, and managing complex administrative deliverables independently . We are seeking a sharp business operator who can step into high-priority situations, communicate on behalf of leadership, manage heavy communication channels, and push multi-faceted business initiatives across the finish line . This role requires high emotional intelligence, outstanding executive judgment, and complete discretion across all corporate and private matters .
Key Responsibilities
• Executive Representation & Inbox Management: Serve as a trusted proxy for executive communications, independently reviewing, triaging, prioritizing, and managing high-volume email correspondence .
• Multi-Entity Operational Oversight: Track, advance, and coordinate operational tasks, projects, and administrative requirements across multiple corporate entities, holdings, and private ventures .
• High-Level Administrative Execution: Drive complex, specialized administrative tasks to completion, including managing bank loan documentation, insurance policies, corporate filings, vendor contracts, and partner agreements .
• Project Management & Bottleneck Elimination: Monitor high-priority corporate projects across departments, following up with internal stakeholders and external partners to ensure critical deadlines are met .
• Executive Scheduling & Logistics: Oversee high-stakes scheduling, calendar management, meeting preparation, and travel arrangements .
• Confidentiality & Discretion: Maintain strict, uncompromising confidentiality regarding sensitive financial records, strategic investments, and executive communications .
Qualifications
• 5+ years of experience in a supporting role (Senior Executive Assistant, Chief of Staff, or Operations Lead) supporting C-Suite executives or entrepreneurs managing multi-entity businesses .
• Exceptional written and verbal communication skills with a refined ability to draft polished, professional communications on behalf of leadership .
• Demonstrated capability in managing complex administrative workflows, commercial financing documentation, insurance processes, and business contracts .
• Highly proactive with strong critical thinking, problem-solving skills, and an ownership mindset requiring minimal day-to-day oversight .
• Exceptional organization, prioritization, and time-management skills under tight deadlines .
Compensation
• Base Salary: $150,000 – $200,000 per year .
