About the Client:
Our client is a highly regarded international Private Equity firm with a collaborative, high-performing culture and a close-knit London office. As the sole Executive Assistant in London, you'll collaborate regularly with colleagues in the US and play a key role in supporting the smooth running of the London office. The business places a strong emphasis on teamwork, communication and fostering an engaging workplace culture. The successful candidate will become an integral member of the London team, contributing not only to executive support but also to wider office initiatives, events and employee engagement.
The Executive Assistant Role:
This is a varied and fast-paced Executive Assistant position supporting three Directors, providing high-level business support. While there is dedicated Reception support for the day-to-day running of the office, you will oversee additional office management responsibilities as required, including liaising with building management, coordinating office initiatives and helping maintain a well-organised working environment. Responsibilities will include:
• Complex diary management, extensive travel coordination, inbox management and a broad range of administrative and project-based responsibilities.
• Informal day-to-day oversight of a Receptionist/Junior Assistant, providing guidance, prioritisation and support where needed.
• Coordinating complex board meetings involving multiple senior stakeholders, often requiring long-term planning.
• Supporting the organisation of annual company summits, offsites and other corporate events.
• Working closely with the global Executive Assistant team, particularly colleagues based in the US, on scheduling, travel and event planning.
• Providing updates during firm-wide meetings, office initiatives, events and team activities.
• Occasional personal assistance if required.
Skills & Experience Required:
The successful candidate will be an experienced Executive Assistant who thrives in a busy, ever-changing environment and enjoys building strong working relationships with multiple senior stakeholders. Enthusiasm for building office culture and fostering engagement will be highly valued.
You will demonstrate:
• Previous experience from a boutique/small office, supporting multiple senior executives or Directors simultaneously.
• Outstanding organisational abilities with excellent attention to detail.
• A highly proactive approach, anticipating needs before they arise.
• Strong communication skills and the confidence to work with a range of different personalities and communication styles.
• Excellent relationship-building skills with the ability to establish trust and credibility.
• A collaborative mindset and the ability to work effectively with international colleagues across different time zones.
• Confidence providing informal guidance and support to junior team members.
• An interest in office culture, employee engagement and creating a positive working environment.
Additional Details:
• Largely office-based role, though some flex to WFH when executives are travelling.
• Hours: 9am-6pm plus support required out of hours.
• Up to c depending on prior experience - particularly of relevant boutique/small offices.
