Description
We are seeking a  Workplace Operations & Experience Coordinator  (Associate grade) to join our  Business Services  team under the  Workplace Operations & Experience  sub-function .  In this role, you will help us deliver a consistent, high-quality, and culturally relevant experience across our physical spaces globally . By default, this is a majority in-person role based in our Berlin office, reporting directly to the Regional Head of Workplace Operations & Experience .  You will collaborate across functions, markets, and our Digital Experience (DEC) teams to drive organizational value, foster community engagement, and optimize operational costs . Job responsibilities Facilities Management & Maintenance:  Ensure the office space is continuously well-maintained, clean, and organized . Engagement & Connection:  Drive the logistical elements of community engagement to foster a strong sense of belonging within the local Thoughtworker population and the broader ecosystem . Onboarding & Offboarding:  Participate actively in administrative processes relating to onboarding, offboarding, and employee transfers . Events:  Partner with various functions, internal communities, and DEC to execute logistical elements of local meetings, events, and experiences . Health & Safety:  Contribute to local health, safety, and emergency response protocols, actively addressing identified hazards . Prepare documentation and organizational work for ISO and TISAX certifications. Serve as the designated Safety Officer, or demonstrate a willingness to complete the required training to become a certified Safety Officer. Working Groups:  Participate as an active member of local working groups . Physical Security:  Oversee physical security measures, manage critical relationships with Infosec and Legal, and contribute to local certifications and uplift activities . Access Control:  Manage access controls and badges for both employees and guests . Travel Support:  Assist travelers with booking travel arrangements or provide support for self-service booking channels . Procurement & Office Services:  Procure office amenities and services through approved suppliers, and set up new suppliers using associated internal systems and processes . Real Estate Liaison:  Liaise with local building management to coordinate troubleshooting of maintenance problems and execute improvements to leased spaces . Sustainability:  Implement local sustainability initiatives, tracking and reporting on sustainability metrics as well as compliance with environmental regulations . Budget Management:  Maintain meticulous records of spend against the allocated regional budget . Job qualifications: Customer Service:  Exceptional customer service skills with a people-first mindset . Tech-Savvy:  Comfortable navigating modern office systems, booking platforms, and administrative tools . Physical Capability:  Ability to complete physical labor, including lifting and moving items to arrange spaces . Problem-Solving:  A natural problem-solver who can address issues independently and creatively . Execution Mindset:  Strong execution-focused mindset with the ability to manage multiple logistical tasks simultaneously . Certifications (Preferred/Required): Prior experience as a certified Safety Officer, or a strong willingness to undergo training to achieve this certification.
