Description
About us LifeMD is transforming healthcare through intelligent digital experiences, AI-powered virtual care, and connected healthcare platforms. Our mission is to make high-quality healthcare more accessible, personalized, and convenient by combining world-class clinical care with modern technology and data-driven innovation. As we continue to scale, we are investing in the next generation of AI, data, and platform capabilities that will fundamentally reshape how healthcare is delivered, experienced, and operated. About the Role The Clinical Operations Administrative Assistant provides operational and administrative support to the Clinical Operations leadership team. This role serves as the coordination hub for provider onboarding logistics, offboarding workflows, provider communications, meeting and training logistics, platform access tracking, and cross-functional routing. The position requires exceptional attention to detail, strong follow-through, and the ability to manage multiple concurrent workflows while maintaining clear communication with internal teams and providers. This role does not make clinical, scheduling, credentialing, or HR policy decisions. It executes and coordinates operational processes as defined by leadership and established SOPs. Requirements Own the provider onboarding process from hire to handoff — maintain the onboarding tracker, send welcome communications, collect required forms, submit access requests, coordinate training and calendar invites, track completion, and flag gaps before handing off to the Clinical Manager for final sign-off. Coordinate provider offboarding once a departure is confirmed — notify and align cross-functional teams, manage termination communications (including collaboration agreement cancellations), oversee access deactivation with IT, and document completion of all steps. Manage platform access across systems (e.g., LifeMD Provider Portal, Elation, Slack, pharmacy and lab portals) — submit and follow up on requests, support basic provider access questions, escalate technical issues to IT, and enter credentialing-approved licenses into the appropriate systems. Draft and send provider-facing and internal communications on behalf of leadership — announcements, training and meeting reminders, workflow and policy updates — and maintain communication templates. Coordinate logistics for provider meetings and training sessions — prepare calendar invites and agendas, work with vendors on demos, track attendance, distribute recordings, and follow up on action items. Maintain operational trackers, SOPs, checklists, and documentation; prepare summaries and reporting for leadership; and ensure visibility into provider readiness, access status, and training completion. Serve as a first point of contact for routing provider questions and operational needs to the appropriate teams (Scheduling, Credentialing, Pharmacy, IT, RCM), and support special project logistics as assigned. Qualifications: Strong organizational skills and reliable follow-through Comfort managing multiple trackers, deadlines, and competing priorities Clear, professional written communication Ability to coordinate across teams in a fast-paced healthcare operations environment Experience with provider onboarding, EMR/credentialing platforms, or healthcare administration is a plus Benefits Health Care Plan (Medical, Dental & Vision) Retirement Plan (401k, IRA) Life Insurance (Basic, Voluntary & AD&D) Paid Time Off (Vacation, Sick & Public Holidays) Short Term & Long Term Disability Compensation:    $28.85/hr
