Job Description Administration Assistant Reports to: Head of Landscaping Sales Responsible for: No direct reports Job Purpose To provide efficient and proactive administrative support to the Sales Team , ensuring smooth day-to-day operations and excellent customer service within a busy sales environment. Key Responsibilities General Administration • Process sales orders, estimates , and related documentation accurately and promptly. • Maintain and organise electronic and paper filing systems. • Answer incoming calls to the department , directing them to the appropriate person. • Provide general administrative support to the sales team , and assisting other teams as needed. Customer Service • Support the management and development of customer and supplier relationships. • Handle queries professionally and assist in resolving issues quickly to maintain strong working relationships. General Duties • Contribute to the continuous improvement of company systems and processes. • Undertake additional duties as required to support operational needs. • Adhere to all company policies and procedures. • Work in line with the company’s Equality, Diversity, and Inclusion Policy . • Collaborate effectively with all employees to support company goals. Skills and Attributes Required • IT literate – confident using Microsoft Office (Outlook, Word, Excel) and other business systems. • Excellent communication skills – clear and confident telephone manner. • Strong organisational skills – able to manage multiple tasks and prioritise workload effectively. • Proactive and willing to learn – demonstrates initiative and a positive attitude to developing new skills. • Attention to detail – maintains accuracy and consistency in administrative work. • Reliable and self-motivated – able to work independently and as part of a team. • Resilient and adaptable – comfortable managing repetitive tasks while maintaining quality and focus.
