MetroStar is seeking a highly organized, service-oriented Workplace Experience & Executive Coordinator to serve as the operational heartbeat of our Reston headquarters. As the first point of contact for employees, executives, customers, partners, and visitors, this role is responsible for creating an exceptional workplace experience while supporting executive operations, facility coordination, and office management. The ideal candidate thrives in a fast-paced environment, exercises sound judgment and discretion, and takes pride in creating a welcoming, secure, and highly organized workplace. This individual will play a key role in supporting MetroStar's executive leadership, coordinating workplace operations, and ensuring every employee and guest experiences the professionalism and culture that define MetroStar. What you'll do: Workplace Experience & Guest Services Serve as the face of MetroStar by delivering a professional, welcoming, and secure experience for employees, customers, partners, and visitors. Manage visitor reception, check-in procedures, badges, escorts, and facility access in accordance with company security requirements. Ensure reception areas, conference rooms, and shared workspaces remain organized, stocked, and guest-ready. Coordinate with Security, IT, Facilities, and Building Management to maintain a safe, functional, and exceptional workplace environment. Executive Coordination & Administrative Support Manage executive calendars, prioritize scheduling requests, and coordinate meetings for the CEO and senior leadership. Prepare executive meetings, customer engagements, leadership sessions, and onsite visits by coordinating logistics, catering, meeting materials, conference rooms, and follow-up activities. Exercise professionalism, confidentiality, and sound judgment while handling sensitive executive communications and scheduling priorities. Anticipate executive and workplace needs, proactively resolving scheduling conflicts and operational challenges. Workplace Operations & Facilities Coordinate day-to-day workplace operations, including facilities requests, office maintenance, vendor relationships, and workplace improvements. Manage office, kitchen, and conference room supplies to ensure the office remains fully operational and welcoming. Partner with internal stakeholders and external vendors to resolve workplace issues quickly and effectively. Continuously identify opportunities to improve workplace operations, guest experiences, and overall office efficiency. Events & Employee Experience Coordinate onsite meetings, executive events, customer visits, interviews, and employee gatherings. Partner with internal teams to ensure events are executed professionally and reflect MetroStar's culture and brand. Support workplace initiatives that foster employee engagement and create an exceptional in-office experience. What you'll need to succeed: 3+ years of experience in executive support, workplace experience, office management, facilities coordination, hospitality, or a related customer-facing role. Experience supporting executives, senior leaders, or other high-visibility stakeholders. Ability to work onsite Monday through Friday during standard business hours. Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously. Strong written and verbal communication skills. High level of professionalism, discretion, and sound judgment when handling confidential information. Outstanding customer service skills with a passion for creating exceptional employee and guest experiences. Experience coordinating with vendors, facilities teams, IT, Security, and cross-functional partners. Proficiency with Microsoft Office, Outlook, Teams, and calendar management tools.
