We are currently seeking a Project Coordinator for our Rye Brook, NY office location in Westchester County, NY. This is an in-office role that works collaboratively with project teams to support the administrative and compliance duties related to commercial construction projects.
Responsibilities:
Support administrative duties for each assigned project: process RFIs, change orders, submittals, subcontractor agreements, and purchase orders
Complete project updates in Procore, distribute required documents to all project team members
Assist Project Manager with insurance and permits as needed
Send the Field Operations team all required project information
Schedule calls and meetings with internal and external project team members to ensure consistent communication flow throughout the duration of a project
Create and distribute weekly reports as requested by Project Managers
Assist in preparation of closeout package process: collect documentation from subcontractors, vendors, architects, clients, and members of the internal project team
Other job responsibilities as assigned by Project Managers
Qualifications and Experience:
Minimum of 2+ years of general contracting or subcontractor experience in an administrative role
Strong administrative skills with attention to detail
Excellent MS Office skills: Excel, Word, PowerPoint, and Outlook skills required
Able to multitask, prioritize, and manage their time well on tight deadlines
Excellent written and verbal communication skills
High level of professionalism
Team-player with the ability to build cross-functional relationships
Bachelor’s degree or equivalent professional experience required
