Description
We are seeking an experienced and proactive Office Manager to lead the administrative and operational functions of the office in Warsaw. This role is critical in creating an efficient, safe, and welcoming workplace environment. The ideal candidate will have a proven track record in office management, a strong understanding of local compliance standards, and a people-centric approach to operations and employee engagement.   Key Responsibilities Take ownership of day-to-day operations for the office, ensuring a professional, welcoming, and well-organized environment. Organize and continuously improve office procedures to maximize efficiency and effectiveness. Serve as the main point of contact for office and facility matters, including utilities, maintenance, access cards, and issue resolution. Manage relationships with external vendors and service providers, including coordination of supplies, inventory, shipments, and orders. Oversee and coordinate the work and schedules of the office cleaning team. Maintain accurate records of company equipment, including issuing, storage, and tracking processes. Coordinate closely with the IT team on all office-related technical needs (e.g., Wi-Fi, equipment, employee setup). Welcome employees, candidates, and guests; conduct office tours and support onboarding activities. Support HR and Events teams in organizing internal events, wellness initiatives, and company celebrations. Actively contribute to planning and executing smaller initiatives such as birthdays, anniversaries, and other team moments. Collaborate with Finance and Procurement to ensure all purchases comply with internal policies and that invoices are processed in a timely manner. Provide support to other members of the Administration team as needed.   Qualifications & Skills Minimum 3-5 years of experience in office, operations, or facilities management. Fluency in English and Polish (both written and spoken). Proven experience in office administration or a similar role, preferably in a fast-paced IT or similar environment. Excellent communication skills with a friendly, proactive, and positive attitude. Strong problem-solving skills, attention to detail, and ability to take initiative. Flexible, self-starter mindset with a willingness to go above and beyond. Proficiency in Google Workspace (G Suite) and Microsoft Office (Excel, Word, PowerPoint). Strong multitasking abilities and the capacity to work effectively under pressure.
