Position Summary
Optima Medical is looking for a highly organized, people‑focused Office Manager to lead one of our primary care clinic locations. This role oversees daily clinic operations and ensures a smooth, efficient, and patient‑centered experience. The Office Manager will supervise clinical and administrative staff—including Medical Assistants and Front Desk team members—while supporting providers and maintaining workflow efficiency.
Key Responsibilities
Oversee day‑to‑day operations of the clinic to ensure efficient patient flow and exceptional service
Provide leadership, coaching, and support to Medical Assistants, Front Desk staff, and other clinic support roles
Manage staff scheduling, timecards, performance, and general HR‑related tasks for the clinic team
Assist with onboarding and training new employees
Ensure proper use of eClinicalWorks (eCW) and support staff with EMR workflows
Maintain compliance with clinic policies, procedures, and quality standards
Monitor and manage clinic metrics, patient satisfaction, and operational performance
Serve as the on‑site point of contact for providers, patients, and corporate departments
Handle escalated patient concerns professionally and promptly
Monitor inventory, supplies, and equipment to keep the clinic fully operational
Support initiatives to increase efficiency, productivity, and overall clinic performance
Qualifications
Medical Assistant (MA) certificate or diploma required
Prior experience in medical office management, healthcare administration, or clinic leadership required
Experience supervising clinical or administrative medical staff strongly preferred
Knowledge of primary care or outpatient workflows
Familiarity with eClinicalWorks (eCW) preferred
Strong communication, leadership, problem‑solving, and organizational skills
Ability to thrive in a fast‑moving, patient‑centered environment
High school diploma required; additional medical or business education a plus
