Stratolaunch is a technology accelerator that engineers operationally realistic testing at Mach 5+. Our air-launched, Talon testbeds are reusable, cost-effective platforms that enable routine access to the hypersonic environment. We deliver flight data critical to validating system performance and achieving rapid technology deployment. Together with our customers, we drive innovations that are imperative to advancing national security. The Executive Assistant provides comprehensive administrative and clerical support to the CEO and COO, serving as a key liaison between executives and the Board of Managers/Advisors. This highly visible role requires exceptional professionalism, discretion, and judgment. The Executive Assistant will coordinate complex schedules, arrange meetings, handle sensitive information, manage travel logistics, and oversee a variety of administrative tasks to ensure the seamless operation of the executive office.
ESSENTIAL RESPONSIBILITIES
Coordinate the CEO’s and COO’s schedules and manage appointments, ensuring optimal use of time and resources.
Arrange and facilitate meetings for the CEO and COO, including agenda preparation, attendee coordination, and accurate transcription of meeting minutes.
Organize complex travel arrangements for the CEO and COO, including itineraries, reservations, and logistics.
Prepare and reconcile expense reports with supporting documentation for executive review.
Attend and record minutes and actions from Quarterly Board Meetings.
Support budgeting and cost reconciliation activities as required by the executive office.
Develop presentation materials and executive documentation as needed.
Maintain confidential files and databases to track project progress and departmental initiatives.
Greet and escort scheduled visitors to appropriate meeting locations, ensuring a professional and welcoming environment.
Draft, edit, and process correspondence and documents (Word, Excel, email, etc.) with a high degree of accuracy and professionalism.
Perform general office support duties such as filing, faxing, copying, and supply management.
Demonstrate the highest standards of honesty, integrity, discretion, and reliability in all interactions and responsibilities.
Handle special projects and confidential assignments as directed by the CEO and COO.
QUALIFICATIONS
Exceptional interpersonal and communication skills, with a proven ability to handle confidential information with discretion, independent judgment, tact, and diplomacy.
Thorough knowledge of office practices and procedures relevant to executive support.
Strong ability to prioritize tasks, multitask, and work independently in a fast-paced environment.
Excellent grammar, punctuation, and written communication skills.
Superior organizational skills and attention to detail.
Demonstrated professionalism and a commitment to excellence in all aspects of work.
EDUCATION & EXPERIENCE
Sr. Executive Assistant ($101,000 - $132,500): High School Diploma or General Education Degree (GED); and 8 plus years of relevant experience supporting Executive-level staff and Advisory Boards, OR, an equivalent combination of education and experience.
