POSITION SUMMARY
Location: On-site at our Pinehurst, NC area facility
Kraken Kinetics is seeking a Contracts Administrator to support the Contracts Manager across the full contract lifecycle, providing the administrative backbone of the contracts function. Reporting to the Contracts Manager, this individual manages contract correspondence, tracks milestones and deliverables, maintains the contracts repository, and helps ensure that day-to-day contract administration runs smoothly and on schedule. This support role is essential to keeping the contracts function organized, responsive, and audit-ready. The right candidate is highly organized, detail-oriented, and comfortable managing multiple deadlines and stakeholders in a fast-paced environment. As Kraken Kinetics grows, there is potential for this role to take on increasing responsibility within the contracts function.
Key Responsibilities
Contract Administration & Correspondence
- Draft, format, and route routine contract correspondence, including timely acknowledgments, status updates, and administrative notices, to customers, suppliers, and internal stakeholders.
- Prepare, proofread, and process contracts, modifications, and amendments for the Contracts Manager's review, redline, and signature.
- Support scheduling and logistics for contract negotiations, kickoff meetings, and customer calls.
Recordkeeping & Repository Management
- Maintain and organize the centralized contracts repository, ensuring executed contracts, modifications, and related correspondence are filed accurately and easily retrievable.
- Track key contract milestones, deliverable due dates, option periods, and expiration dates, flagging upcoming deadlines to the Contracts Manager.
- Maintain accurate contract logs and trackers, and produce regular status reports for leadership.
Compliance & Administrative Support
- Support completion and renewal of System for Award Management (SAM.gov http://SAM.gov) registrations, annual representations, and required certifications.
- Assist in gathering documentation for compliance reviews, audits, and government flow-down requirements, helping ensure contract files meet applicable recordkeeping standards.
Cross-Functional Support
- Serve as a day-to-day point of contact for Program Management, Finance, Supply Chain, and Operations on routine contract questions and status inquiries, escalating substantive issues to the Contracts Manager.
- Support the Contracts Manager in preparing proposal materials, compliance matrices, and correspondence related to capture and business development efforts.
- Assist with rolling out new templates, checklists, and process documentation as the contracts function matures.
Process & Tools Support
- Support the Contracts Manager in maintaining and refining contract templates, checklists, and standard operating procedures.
- Assist in maintaining contract management software/tools, ensuring data accuracy and consistency across the portfolio.
