Effective Teacher: You enjoy helping non-technical teammates understand systems and are comfortable training teams on new tools and workflows. Self-Starter: You take ownership of problems and proactively identify opportunities to improve systems before issues arise. Role Overview: We are looking for a Business Systems Architect to design and evolve the technology ecosystem that powers how Kay-Twelve operates. This role goes far beyond maintaining software tools. You will be responsible for architecting how systems, data, and workflows connect across the organization so that our team can operate efficiently, make better decisions, and scale effectively. You will partner closely with leadership to evaluate how work flows across departments and design the systems, automations, and reporting infrastructure that support those workflows. While this role will support day-to-day system requests and improvements, the primary focus is strategic: building and evolving a long-term systems roadmap that improves operational efficiency, decision visibility, and scalability across the company. The ideal candidate understands both technology and business operations and can translate operational workflows into systems architecture that supports the future growth of the company. Key Responsibilities: Systems Strategy & Roadmap ● Own the long-term technology and systems roadmap for the organization ● Evaluate how systems support company operations and identify opportunities for improvement ● Design scalable system architecture that supports the company’s future growth ● Partner with leadership to redesign workflows and improve operational visibility across departments Systems Architecture ● Design how core business systems connect and interact across the organization, ensuring data flows reliably between tools such as HubSpot, Purlieu, QuickBooks Online, and other platforms. Automation & Integration ● Build and maintain automations using platforms such as Make or similar tools to streamline workflows and reduce manual work across the company. HubSpot Ownership ● Serve as the primary administrator for HubSpot CRM, ensuring data integrity, managing permissions, and building dashboards and reports that support better decision-making. Decision Visibility & Reporting ● Develop reporting infrastructure, dashboards, and system visibility that enable leadership to better understand operational performance and make informed strategic decisions. Cross-Department Workflow Design ● Collaborate with leaders across Sales, Finance, HR, and Operations to redesign workflows and ensure systems effectively support how work moves through the organization. AI Integration & Innovation ● Research, test, and implement AI tools and workflows that improve productivity and operational efficiency across the company. Education & Adoption ● Ensure the team understands how systems work and evolve by providing training, documentation, and guidance when new tools or workflows are implemented. Systems Support ● Manage incoming system and automation requests while maintaining a responsive, service-oriented mindset toward teammates across the organization
